The Admin Clerk plays a key role in supporting the daily operations of the branch by ensuring accurate financial administration, efficient stock control, and proper record keeping.
This role requires an organized and detail-oriented individual who can manage multiple tasks, work under pressure, and provide reliable administrative support to management and the wider team.
Duties and Responsibilities
- – Finalize cash-ups
- – Prepare floats for tills
- – Process receipts on account paid cash
- – Perform banking duties
- – Make copies of cash-ups and file them accordingly
- – Compile monthly cash-up and banking summaries and send to Head Office
- – File all delivery notes signed by clients
- – Order stock as required
- – Receive stock, complete GRV, and print labels
- – Make copies of supplier invoices and file
- – Process RTS for faulty or short-supplied stock
- – Submit request forms for new codes or price changes from the buyer
- – Match supplier invoices with statements and send them to the relevant branch
- – Record banking statement details (account number, payment period) and email to relevant branch
- – Email client statements and invoices on request
- – Prepare and file journal batches (decanting, mixing room usage, selling)
- – Process IBTs (receiving)
- – Place IBT stock orders/quotes from PE
- – Conduct stock counts – scan stock, check variances, and finalize stock take
Experience and Qualifications
- – Grade 12
- – Minimum of 3 years’ similar experience
- – Organized, logical, and able to multitask efficiently
- – High level of integrity and ethical standards
- – Computer literate
- – Strong written and verbal communication skills
- – Good interpersonal and teamwork skills
- – Strong problem-solving abilities
- – Self-motivated, resourceful, and able to work under pressure and tight deadlines
- – Adaptable to changing circumstances
- – Strong attention to detail
