A position has become available for a Senior Admin Clerk to join our dynamic team.
Job description
The purpose of this role is to provide a comprehensive administrative and secretarial support to the Human Resources and Payroll Departments.
KEY PERFORMANCE AREAS
- General and Office administration including but not limited to:
- Streamlining department calls
- Maintain an efficient and up-to-date filing system
- Ensuring sufficient supply of standard stationery for the department
- Supervision of general assistant staff
- Departmental Administrative support including but not limited to:
- Assist with diary management
- Assist in arranging meetings and conferences (ordering of refreshments, venue bookings, etc.)
- Coordinate uniform ordering
- Inter-DC post via courier
- Purchase order creation and keeping a record of payments to vendors and ensuring timely payment of invoices
- HR Administration:
- Vacancy uploads on SharePoint
- Updating HR Notice Board
- Birthday list and card distribution
- Administer fuel card applications
- Background checks (as required)
- Maintain a database of all graded roles and grading outcomes
- Maintain a folder with all HR Legal agreements with vendors
- Travel Arrangements:
- Book flights
- Arrange transport and accommodation
- Arrange forex when required
- Presentations:
- Assist with the preparation of presentations
- Ad hoc duties as required by management including but not limited to:
- Co-ordination of events such as Comms Session, Cake Day, etc.
- Supervision of meeting rooms
Minimum requirements
- Matric.
- Tertiary qualification with admin/secretarial specialisation (HR is preferable).
- At least 6 years’ experience in a similar role including office management and supporting a senior executive.
- Must be proficient in MS office (at least 2 years’ experience).
- Proficient in SAP Purchase Order Creation.
- SharePoint experience will be an advantage.
