Job Description
To deliver reception and/or switchboard duties in order to respond to visitors, clients and other related queries and administration duties accurately and timeously. Specific Role Responsibilities
- To ensure that incoming telephonic calls are connected within 3 rings.
- To ensure that all Customers, walk in or telephonic will receive the most pleasant and courteous welcome and dealt with promptly.
- Taking of messages when staff members are not available and email the staff member immediately.
- To assist with arranging maintenance in the building.
- Plumbing
- Electrician and lighting
- Airconditioning
- Ensure safety documents are completed for maintenance done in the building.
- Pest Control
- To co-ordinate with Cleaning staff regarding Conference room booking arrangements and refreshments/print out schedule daily.
- Updating Telephone list/Dealership list/Evacuation list on a monthly basis.
- Keep Receptionist Manual up to date for ease of access when temps are needed.
- Assist with General Administration
- Paper/Stationery ordering monthly on the one link system/keeping cost to minimum
- Grocery ordering monthly on the one link system/keeping costs to a minimum
- Ordering of flowers
- Procurement system – Applying for Purchase order and sending via email orders to suppliers.
- Conference room bookings
- Couriering/loading all Distribution documents, Natis and Keys to relevant dealerships and couriering of all other parcels/letters using the Seaborne system Courier system
- Safety: Evacuation list updated monthly
- Mail collection is arranged.
Qualifications and Experience
- Matric
- 3 years’ experience in a Receptionist role/Administration
