Job Description

The purpose of this position is to provide effective and professional administrative support and services to the Concentrated Factories, ensuring smooth day-to-day operations, accurate documentation, and efficient coordination in support of production and business objectives.

Requirements

  • Grade 12 or equivalent NQF4
  • Relevant experience in applying job related concepts, techniques, and processes at the required level
  • Experience in working with senior management
  • People management experience 
  • Business English: Fluent
  • Computer literacy (Intermediate)
  • Code 08 Driver’s license

Duties and Responsibilities

Perform secretarial tasks?

  • Production manager’s office management: In-Out Tray management, Calendar management, Filing, Telephone & Messages.
  • Support to rest of management team and factories.

Perform administrative tasks 

  • Responsible for administrative controls and tasks as delegated to you.
  • Ensure filing, storage, and security of documents (paper and paperless)
  • Support during Audits.
  • Traceability according to set standards , uphold documentation.
  • Best Time Edits , leave , TES timesheets.
  • Deal with administrative queries

Administer and monitor expenses 

  • Support with Fixed Cost, Variable Cost , PPE and chemical orders.
  • Ensuring corresponding invoices are sent for payment.?
  • Ensure data/transactions are properly recorded and entered
  • Assist with the annual audit

Assist with general departmental needs 

  • Support with ad-hoc requests 
  • Assist with leave application capturing for departments
  • Perform Relieve duties within the team.
